Challenge:
A large health system had begun its implementation of RPA (Robotic Process Automation) in 13 departments throughout the organization. A majority of the Bots were scheduled and in an unattended scenario performing back-office functions. Due to the current inability to scale human capital in the organization there was a need identified to take the automation to the next level and provide more value to its employees as they spent of most of their day performing “work about work”.
The organization wanted to create a vehicle in which Digital Assistants could be identified, created, and run at scale for thousands of employees to save time that could be repurposed doing higher value work either with patients or other revenue generation tasks. During the discovery process of which Digital Assistant candidates could be identified, there was a shortage of strong use cases.
Solution:
To accelerate the building and identification of Digital Assistant candidates as well as making their Subject Matter Experts (SME’s) in each department more productive, the organization implemented a Citizen Development program. The goal was to identify a group of Super Users in each area. Across the organization this equated to over 200+ employees. Governance was established from the UiPath Orchestrator to federate exactly which processes could be automated. Within each department, Super Users created microbots with the use of pre-built activities that were part of the larger unattended bot initiative. This increased the time to production exponentially and, in the process, saved the Super Users time in their day-to-day activities.
With this success, more digital assistant candidates were identified. It is estimated that the original group of Super Users saved close to 1000 hours per month in the first six months. As they got more familiar with the UiPath StudioX platform, the hours saved has increased by 20% every six months thereafter.
